This Privacy Policy explains how [FleetMagnify Limited] ("FleetMagnify", "we", "us") collects, uses, stores, and discloses personal information in connection with the FleetMagnify platform (the "Service"), in accordance with the New Zealand Privacy Act 2020.
1. What We Collect
Account information
When you sign up, we collect your name, email address, company name, and fleet size, as provided during registration.
Fleet and fuel data
To provide the Service, we collect data about your vehicles and machinery, including asset names, registrations, fuel purchase records, telematics readings (hours, idle time, distance travelled, odometer readings), and related operational data. This data is either uploaded by you via email (as CSV exports from your telematics or fuel provider platforms) or entered manually within the platform.
Where fuel or telematics data includes driver names (for example, where a fuel card transaction is recorded against a driver rather than a vehicle), this may constitute personal information about your employees or contractors. You are responsible for ensuring you have the appropriate authority to share this information with us, including notifying affected individuals where required.
Billing information
Payment card details are collected and processed directly by our payment processor, Stripe. We do not store your full card details on our own systems.
Usage data
We may collect information about how you use the Service, such as pages visited and features used, to help us improve the product.

3. Disclosure of Information
We do not sell your personal information or Customer Data. We may disclose information to:
- Service providers who help us operate the Service, including our hosting provider (Vercel), database provider (Supabase), payment processor (Stripe), and email delivery provider (SendGrid). These providers only access data as necessary to perform their function for us.
- Legal or regulatory authorities, where required by law or to protect our legal rights.
- A buyer or successor, in the event of a sale, merger, or restructure of the business, subject to equivalent privacy protections.
4. Where Your Data Is Stored
Your data is stored using third-party cloud infrastructure providers (currently Supabase and Vercel). Your data is currently hosted in Singapore. By using the Service, you consent to your information being stored and processed in this location.
5. Data Retention and Deletion
We retain your Customer Data for as long as your account is active. If you cancel your subscription, your Customer Data will be deleted from our systems within 30 days of the effective cancellation date, except where we are required to retain certain records (such as billing records) for legal or tax purposes.
You may request deletion of your data at any time by contacting us — see Section 8.
6. Data Security
We take reasonable steps to protect your information, including access controls that restrict each account's data to that account only (row-level security), encrypted data transmission, and secure authentication. No system can be guaranteed completely secure, and you should also take care to protect your own account credentials.
7. Your Rights
Under the Privacy Act 2020, you have the right to access the personal information we hold about you and to request correction of that information. You may also request deletion of your data as described in Section 5. To exercise these rights, contact us using the details in Section 8.

If you are not satisfied with how we have handled your personal information, you may lodge a complaint with the New Zealand Office of the Privacy Commissioner.
9. Changes to this Policy
We may update this Privacy Policy from time to time. Material changes will be notified via email or in-app notice. The "Last updated" date at the top of this page reflects the most recent revision.
